Painting contractors in practice

Colour Compass Painting is painting the Mees family's exterior window frames. The colour is agreed, but a door is added to the request. Follow these fictional details from enquiry to completion.

Keep colours and extra requests with the painting job.

Anouk Mees chooses RAL 9010 for the exterior window frames and asks whether the back door can be included. The colour belongs to the existing work; the door may extend its scope. Keep both clearly recorded with the same job.

Record which surfaces are included and what preparation is needed. Bo can find the colour and request with the location. Further questions then arrive with the work they concern.

Define the scope of the painting work.

Specify surfaces, preparation and finish in the quote. List an extra door or other additional work separately so the customer knows what needs further approval. This also helps a colleague taking over.

Keep the colour agreement and approved proposal with the job. If the customer signs through SignIQ, that version remains available alongside other work documents. Use the latest approved agreement as your starting point.

Schedule the job with preparation in mind.

Exterior work requires coordination of access, materials and site conditions. The example schedule shows an appointment, but your team must assess when the work can be carried out responsibly.

Record who will do the work and what needs checking beforehand. Note deviations during delivery with the job. The office can then discuss a reschedule or additional request with the relevant background.

Share work agreements and handover details.

One customer confirms a colour by email; another sends a photo on WhatsApp. When they call, you need the agreed colour and scope at hand. Keep that context with the same customer.

Share the documents and handover information the customer needs through the portal. Keep internal notes separate and make clear which agreements are final. The customer can later check what was treated.

Check completed work against the quote.

At completion, the office checks whether the original surfaces and extra door were painted as agreed. Use that as the basis for the draft invoice. An unapproved request should not automatically become a charge.

At handover, record anything needing later attention. Maintenance advice or another inspection becomes a follow-up appointment for the same customer. The information stays useful when the next painting job is discussed.
