Talentlijn supports Noor's application for a project manager role at Morgen Construction. This fictional record shows why candidate, vacancy and employer need to stay connected while retaining different roles.

Connect the candidate to the right vacancy and employer.

Noor responds positively to the first interview and wants a second appointment. Joris needs the vacancy, interviewers and earlier feedback. A candidate card alone does not show which assignment the next step belongs to.

Keep the application with the vacancy and employer. The candidate is the person you support; Morgen Construction is the customer in this example. Keep those roles clear even when contacts and documents share a record.

Make commercial agreements with the employer.

The recruitment agreement specifies the fee, terms and invoice trigger. Record these with Morgen Construction. An interview or offer to Noor is a different agreement and does not replace the employer's approval.

Keep the assignment confirmation and signed documents with the employer. This gives the office a clear basis for follow-up. Do not assume the same terms or fee apply to a new vacancy.

Plan the next round with previous feedback at hand.

Coordinate Noor's and the interviewers' availability and specify the interview being scheduled. Note outstanding topics so Joris can use the earlier notes in preparation.

An interview-scheduled status should refer to an actual appointment. Afterwards, record feedback and assign someone to discuss the next step. This keeps follow-up actions distinct across vacancies.

Share candidate documents with the intended recipient.

Candidate notes and commercial agreements have different audiences. Decide which documents are for the employer and which support internal guidance. The full internal record does not need to go to the customer.

Use the portal for agreed documents and connect email and phone communication to the relevant application. State which vacancy and candidate each handover concerns.

Base the invoice on the recruitment agreement.

When the candidate is placed, check the agreed invoice trigger. The employer is the debtor in this example; the candidate's name must not automatically become the invoice recipient.

Alongside administrative completion, schedule a check-in after the start date. Show who stays in contact with the employer and candidate. Additional agreements belong with the assignment they concern.
