Pest control in practice

Follow a report at Graanwerk with the fictional Spoorvrij Pest Prevention team. Explore inspection points, appointments, reporting and whether a follow-up inspection is covered by the contract.

Keep the report with the location and earlier inspections.

Elise at Graanwerk reports signs by the warehouse's back door. The inspector needs to know where they were found and what was previously recorded there. A message without the location's history is not enough.

In this example, inspection points CP-01 to CP-04 are linked to the inspection. Noor can consult the report, storage area and previous agreements. Findings stay connected to the same location for the next visit.

Agree what the visit and follow-up include.

A new report may require a separate inspection or fall under an existing contract. Check before promising a price or visit frequency. Specify the locations, checks and reporting included in the proposal.

Explain how follow-up inspections and extra work will be handled. Keep the agreement and approval with the customer so the office can answer questions without guessing what is included.

Give the inspector inspection points and access details.

Noor visits Graanwerk at 10:00. The appointment must fit between other visits and travel time. Check that the contact will be there and the inspector can reach the back door and storage area.

Use the checklist to record observations, photos and advice. A completed status alone is not enough: the next inspector needs to see what was found at each point and which follow-up action remains open.

Make the report useful to the customer.

The customer wants to know what was checked, what was found and what needs to happen next. Connect the inspection report and prevention advice to the visit. Refer to the same appointment in follow-up messages.

Share the report and visit information intended for Graanwerk through the customer portal. Decide who may see it. Internal considerations and a new proposal's preparation do not need to appear automatically in the customer view.

Check contract coverage before the next invoice.

After the visit, Noor may recommend a follow-up inspection. That is first a practical next step. The office separately assesses whether the contract covers it or new approval is needed. Keep those decisions distinct.

Recurring invoices can support periodic inspection contracts. An extra visit remains linked to the location and its cost agreement. That lets you explain which work is invoiced separately and which is covered.
