Keep the request with the workshop task, deadline and customer. This shows who asked and which activity it concerns. Another task for the same customer may have its own agreements and deadline.
Agree what you handle independently and what needs review.
A support package may cover hours or fixed tasks. Specify what is included and when extra work must be discussed. Clarify who can approve a message, document or changed appointment.
Connect work agreements to the customer and keep the signed contract with the record. A new task then does not require another search for the assignment's limits. Content review still belongs with the right person.
Schedule preparation and review as separate stages.
Mara can prepare the participant list and draft information while Eva reviews the content. Schedule review before the sending deadline. An in-progress status alone does not make this dependency clear.
Use stages such as scheduled, awaiting review and completed to track handover. Add a checklist for recurring workshop requirements. Each recurring task still needs its own delivery and review.

Keep customer communication with the relevant work.
If Eva emails a change and later calls about it, Mara needs access to the current agreement. The customer record and linked task provide that context.
Share agreed documents and task results through the portal. Assess which participant details are needed and limit sharing to the collaboration's purpose. An internal working document can differ from the customer version.

Review the task package at the end of the period.
Compare completed work with the agreed hours or fixed package. Discuss extra work and record approval before adding it to a draft invoice. The customer can then compare the invoice with the agreement.
A fixed monthly package can use recurring invoices. Also schedule a package review. Customer needs can change even when monthly invoicing follows the same agreement.
