Construction and renovation in practice

A customer asks Wervel Construction for an extra niche during a bathroom renovation. This fictional job shows how to pass the change to the crew and include it in the commercial agreement.

Keep a new request with the existing building job.

During preparation, Nina Drost asks for an extra bathroom niche. A small change can affect materials, work and scheduling. The original job provides the starting point for assessing those effects.

Keep the request with the renovation and show what still needs checking. Tijn can see that the niche is a request, not yet approved work. The job, location and contact details do not need to be entered again.

Have extra work approved before the crew starts.

Describe the change, its cost and its effect on the schedule. Keep the extra work proposal with the original quote so the customer can see what changes.

Record approval with the job and share it with the crew. If a document needs signing, keep the signed version accessible through SignIQ. A passing comment in a conversation should not be mistaken for a confirmed instruction.

Connect preparation to the schedule.

Tijn and Bo are preparing the bathroom. The tiles have arrived, but they still need to know what has been approved for the niche and which materials it needs. Schedule the change after checking those dependencies.

Keep work agreements, material details and the checklist with the job. A colleague taking over on site sees the same starting point. Record deviations and outstanding issues for the office during delivery.

Show the customer the correct version.

A renovation produces photos, revised agreements and progress messages. When answering by email or phone, make clear which version of the job the answer refers to.

Share agreed documents and handover information through the customer portal. The customer can find the extra work proposal while internal calculations and preparation remain separate. Choose which documents to make available.

Connect instalments and extra work to the approval.

Before invoicing, the office checks which instalment is due under the agreement. Approved extra work may have a separate arrangement. Check the description and invoice date against the documents in the record.

After handover, record remaining issues and any follow-up inspection. Sending an invoice does not mean every practical agreement is complete. Keep the remaining work visible to the person responsible.
